SolarSesame, Inc. ("SolarSesame," "we," "us," or "our") respects your privacy. This Privacy Policy explains how information is collected, used, stored, and shared when you use the Signal mobile application ("Signal" or the "App").
Signal is designed to assist authorized sales representatives and other business users with recording conversations, generating transcripts, analyzing conversations, and reviewing sales interactions.
By using Signal, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect
Depending on how Signal is configured and used, we may collect the following information.
Account Information
When you sign in to Signal, we may collect information associated with your account, including:
- Name
- Email address
- User or employee identifier
- Organization or company information
- Authentication and account information
- Account settings
Some accounts may be created or managed by your employer or organization.
Audio Recordings
When you choose to start a recording, Signal accesses your device's microphone and records audio from the conversation.
Audio recordings may include the voices and statements of the Signal user and other participants in the conversation.
Signal does not use the microphone for conversation recording unless the application's recording functionality has been activated.
Audio may be temporarily stored on the device and transmitted to SolarSesame's systems in smaller portions during an active recording.
Transcripts and Conversation Content
Recorded audio may be processed to generate:
- Written transcripts
- Conversation summaries
- Identified discussion topics
- Sales process or script analysis
- Coaching feedback
- Completion or compliance analysis
- Other information derived from the recorded conversation
Because these outputs are generated from conversations, they may contain personal information provided by participants during a recording.
Call and Recording Metadata
We may collect information related to a recorded session, including:
- Recording start and end times
- Recording duration
- Recording status
- Upload status
- Sequence or segment information
- File size and technical recording information
- Identifiers associated with the call, user, or organization
Device and Application Information
We may automatically collect limited technical information necessary to operate, secure, diagnose, and improve Signal, such as:
- Device type
- Operating system and version
- Application version
- Device or application identifiers
- Application events
- Error and crash information
- IP address
- Network information
- Diagnostic information
Usage and Analytics Information
We may collect information about how users interact with Signal, including:
- Screens viewed
- Features used
- Buttons or actions selected

We may use analytics providers, such as PostHog or similar service providers, to help us understand application usage and improve Signal.
We do not intentionally use analytics tools to record the contents of private conversations unless specifically disclosed and required for the functionality of the App.
2. Microphone Permission
Signal requests permission to access your device microphone because audio recording is a core feature of the App.
Microphone access is used to capture audio when you intentionally start a recording.
The recorded audio may be uploaded to SolarSesame systems for storage, transcription, analysis, coaching, quality assurance, compliance, and other purposes described in this Privacy Policy.
You may deny microphone permission through your device settings. However, recording functionality will not work without microphone access.
3. Consent to Recording
Users are responsible for complying with applicable laws regarding recording conversations.
Depending on the jurisdiction, consent from one or all participants may be required before recording begins.
Signal should only be used to record a conversation after any legally required notices and consents have been provided or obtained.
Your organization may establish additional recording and consent requirements that apply to your use of Signal.
4. How We Use Information
We may use information collected through Signal to:
- Provide and operate the App
- Authenticate users and manage accounts
- Capture and store authorized recordings
- Upload and process audio
- Convert recordings into transcripts
- Generate summaries and conversation analysis
- Evaluate completion of sales scripts, processes, or required steps
- Provide coaching and performance insights
- Allow authorized users to review conversations
- Monitor application performance
- Troubleshoot errors and technical problems
- Protect Signal and our systems from misuse, fraud, or unauthorized access
- Maintain security and audit records
- Improve Signal features and reliability

5. Artificial Intelligence and Automated Processing
Signal may use artificial intelligence, machine learning, speech recognition, or similar technologies to process recordings and transcripts.

- Determine whether particular sales or process steps were discussed

We do not sell personal information collected through Signal.

Your Organization
If Signal is provided to you through your employer, contractor, or other organization, authorized personnel within that organization may have access to information associated with your use of the App.
Depending on your organization's configuration, this may include:

- Summaries
- Conversation analysis

- User or performance-related information
Service Providers
We may use third-party service providers to operate Signal. These service providers may process information on our behalf for functions such as:

- Meet customer or contractual requirements

Retention periods may differ depending on the type of information and the requirements established by the organization using Signal.
Recordings, transcripts, summaries, and conversation analyses may be deleted, anonymized, or aggregated according to SolarSesame's or the applicable organization's retention policies.
Temporary audio files stored locally on a device may be removed after they have been successfully uploaded or when they are otherwise no longer required for App functionality.
Information may be retained for a longer period where required for legal, regulatory, security, fraud-prevention, dispute-resolution, or compliance purposes.
9. Account and Data Deletion
Users may request deletion of their Signal account and associated personal information where applicable.

When an account is deleted, SolarSesame will delete or anonymize information associated with that account unless retention is necessary for legitimate purposes such as:
- Legal or regulatory compliance
- Fraud prevention
- Security

If Signal is provided through your employer or another organization, certain information may be controlled by that organization. In those circumstances, deletion requests may need to be directed to the applicable organization.
Where third-party service providers process data on our behalf, we may instruct those providers to delete associated information where applicable.
10. Your Privacy Rights
Depending on where you live, you may have rights concerning your personal information, including the right to:

11. Information About Other Participants
Signal users may record conversations involving customers, prospective customers, coworkers, or other individuals.
Those individuals may not themselves be Signal users.
Their voices, statements, names, contact information, and other information disclosed during a conversation may appear in recordings, transcripts, summaries, or analysis generated by Signal.
Users and organizations using Signal are responsible for providing any notices and obtaining any permissions or consents required by applicable recording and privacy laws.
12. Children's Privacy
Signal is intended for business and professional use and is not intended for children.
We do not knowingly collect personal information directly from children through Signal.
If we learn that personal information from a child has been collected through the App contrary to applicable law, we will take appropriate steps to address the information.
13. International Data Processing
Information collected through Signal may be processed or stored in countries other than the country where the user or recorded participant is located.
Those countries may have data protection laws that differ from the laws in your jurisdiction.
Where required by applicable law, we use appropriate safeguards when transferring personal information internationally.
14. Third-Party Services
Signal may integrate with third-party services or technologies.
Those services may process information as service providers to SolarSesame or may operate under their own privacy policies, depending on the nature of the integration.
Use of a third-party website or service outside Signal is subject to the terms and privacy practices of that provider.

We may update this Privacy Policy periodically to reflect changes to Signal, our data practices, applicable laws, or service providers.
